How does email management work?

Manage email invitations: 

Enrollment Management allows an administrator to set up emails to:

  • Invite participants
  • Remind non-registered participants
  • Send login details to registrants to facilitate their access on the day of the event

Before you can use the email management

Before you can use the email management, you need to add your guest list (1) and set up your cover page (2).

 

1) Add your guest list:

The first step will be to add the list of your guests, who will be the future recipients of your emails. 

To do this, go to the section Configure > Settings > Participants. To succeed in this step, we invite you to follow this article: How do I add participants to my event?

2) Configure your cover page:

Then, before sending your emails, you have to configure your cover page, on which your participants will be able to register.

Moreover, the information entered on this page (date, time...) will be automatically used in the content of your emails.

Once your splash page is configured, you will be able to invite your participants on your Wiz.

 

To manage emails: 

To set up and schedule your emails, go to Configure > Modules > Email Management

This module offers you a series of pre-set emails that you can modify according to your needs.

Once prepared, you will be able to set their sending mode (automatic according to an action or at a fixed date and time).

Modify an email 

For each email, a default text will be proposed to you, but you will be able to personalize it by clicking directly on it.

  1. Click on the 3 little dots
  2. Then on "modify"

  3. You can then customize the subject of your email

Schedule an email

For each email, you will be offered a default sending option, but you can also choose to customize the date and time.

  • The sending of this email can be automatic. Indeed, it can be sent directly when you add the email addresses yourself in "settings" > "participants" > "add", and you choose to notify your participants.
  • Yes, I come
  • No, I'm not coming

Relaunch Invitation:

Name of your Wiz ๐Ÿš€ Be part of the adventure.

  • To all participants who did not respond to your first invitation email

  • To all your participants
  • The sending of this email can only be personalized (so you choose when you want to schedule it).
  • Go to the event

Registration Confirmation:

  • To all participants who answered "yes, I'm coming" to your first invitation email

  • To all your participants
  • The sending of this email can be customized (so you choose when you want to schedule it).

  • The sending of this email can be automatic. Indeed, the email can be sent directly when your participants accept your invitation.
  • Go to the event

  • Go to the event

3. The reports

Please note! 

For this part after your event, it is necessary to make your report public before sharing it.

To do this, go to Configure > Analyze > Report.

Then click on "share" at the top right of your screen, and make the activity report available.

  • This email can be sent automatically 3 hours before your event.
  • Access to statistics

 

All the links in the emails, which link to your homepage, have a feature that allows your participants to avoid having to register and create an account. 

This is a unique link for each participant, allowing them to be identified only by their email address.
